Note: this integration is only available for users with Webmecanik Pipeline PRO or ENTERPRISE plan.
Overview of the Webmecanik Pipeline integration
Synchronize your Webmecanik Pipeline and Webmecanik Automation data without manual action and import. With data synchronization via Webmecanik Automation, you benefit from the following advantages:
- Bi-directional synchronization: data is shared in real time between Webmecanik Pipeline and Webmecanik Automation.
- Native and custom field mapping: easy configuration through field mapping.
- Your Webmecanik Pipeline contacts and companies are synchronised.
- Behavioral data (email clicks, page views, email opens, etc.)
Plugin configuration
Authentication
- Access your Webmecanik Pipeline interface to create an API key.
- Create an API key in Configuration > API Key > Add API Key. Name it "Webmecanik Automation" for example.
- Set the Callback URL to the URL available in the Webmecanik Pipeline plugin of your Webmecanik Automation account (you will have a different value of sup-wmk.automation.webmecanik.com, use the right one).
- Copy the Client ID and Client Secret from the Webmecanik Pipeline application that will be displayed. Note the secret which will only be visible once.
- Open the Webmecanik Pipeline plugin from your Webmecanik Automation account. Paste the Client ID and the Client Secret of Webmecanik Pipeline and set the access URL to your Webmecanik Pipeline account (usually https://pipeline.webmecanik.com).
- Save a first time, then click on Authorize the application.
"Features" Tab
- Synchronize objects between Webmecanik Automation and this integration: Establishes the connection between the two tools. Required to execute targeted actions (sending a contact via a form, a campaign scenario, a follow-up action, etc.).
- Synchronize owner: Aligns the owner (sales representative/manager) assigned to contacts and companies. Prerequisite: The user must exist in both applications with the exact same email address.
- Mutual data deletion: When a contact is deleted in one application, it is automatically deleted in the other (after a short delay). ⚠️ Caution: Enable this option carefully to avoid unintended data loss.
- Company
- Contact
- Automated synchronization: To enable automatic background data sync, send a request to support at support@webmecanik.com.
- Sync direction: Synchronization is bi-directional by default. If you want to limit sync to one direction only (e.g., Pipeline to Automation only), specify this in your support request.
- Historical data: Once enabled, automatic synchronization processes contacts created or modified within the last 40 minutes. It is not retroactive by default.
"Field Mapping" Tab
- Format compatibility: Field types must match on both sides (e.g., a Number field can only accept numerical values).
- Dropdown lists (Select): Available options must be strictly identical in both applications (same labels, same character casing).
Field Synchronization Direction
- Synchronize both ways: Any update made on one side is automatically reflected on the other within the automated CRON update interval.
- Automation → Integration: Data from Webmecanik Automation enriches the CRM, but changes made in the CRM are not passed back to Automation.
- Integration → Automation: The CRM is defined as the single source of truth. Its data updates Automation, but no data from Automation will modify the CRM.
Testing the Synchronization
To verify that your integration is set up properly, the most reliable method is to simulate a real-world conversion:
Create a test form in Webmecanik Automation containing at least First Name, Last Name, Email, and Company Name, along with any other required fields in Pipeline.
Add the form action "Send contact to Pipeline"
Open the form in Incognito/Private mode to avoid being logged in as an administrator. Use the public URL by removing
/s/from the administration URL (for example, change[https://v-5.automation.webmecanik.com/s/forms/view/1](https://v-5.automation.webmecanik.com/s/forms/view/1)to[https://v-5.automation.webmecanik.com/form/1](https://v-5.automation.webmecanik.com/form/1)).
Once the form is submitted, check Pipeline to confirm the immediate creation of the contact record and its associated company.
Troubleshooting
- Check configuration: Ensure that Synchronize objects and the desired entities (Contact / Company) are checked in the Features tab.
- Re-authenticate: Re-enter your credentials in the integration plugin to make sure the connection is active.
- Check the connecting user: If the user who initially authenticated the plugin was deleted or lost permissions, the integration will disconnect. Re-authenticate using an active admin account.
