How does the AI summary work?
The AI analyzes record data in real-time (profile information, custom fields, linked opportunities) as well as the entire activity feed (interaction history, emails, meeting minutes) to automatically draft four key sections:
Context: The essentials about the contact's profile (role, responsibilities) or the company (industry, size) and the nature of your relationship.
Key History: Highlights of past interactions, major touchpoints, and how the relationship has evolved.
Current Situation: The exact status of the relationship right now, including ongoing discussions or current sales opportunities.
Next Steps: Planned actions, reminders, or tasks to nurture the customer relationship or move deals forward.
What are the requirements to generate a summary?
For the AI to work effectively, it needs substance. The summary will only appear if at least 5 fields on the record are filled out or if the record has at least one activity (note, email, task).
We recommend filling out at least:
First and last name (for a contact) or company name (for a company).
A working email address or phone number.
The corresponding association (linking the contact to their company).
The job title or industry sector.
A first logged activity (a call summary or a discovery note).
Why is the "Update" button greyed out?
This is a common question! To optimize resources and guarantee the relevance of the generated summaries:
The summary can only be updated if the contact or company record has undergone a modification since the last generation.
If no information has changed (no new comments, no field updates, no synced emails), the AI considers the current summary to still be perfectly valid.
As soon as you edit a field or add a new note to the activity feed, the button will instantly become active again.
Tips for a better summary
Be precise in your logs: The clearer and more detailed your call notes, meeting summaries, or follow-up instructions are, the more accurate and impactful the AI's "Current Situation" and "Key History" sections will be.
Centralize your data: Get into the habit of linking your ongoing opportunities to your contact and company records. This allows the AI to cross-reference business and relationship data for an even more comprehensive summary.
