With Webmecanik Automation you can import contacts directly from the interface. From a CSV file, you can import many data such as email, firstname, address, company and so on.
How to import contacts ?
To import contacts into Webmecanik Automation, you need to create a CSV file. Two different formats are allowed:
- CSV comma separated,
- CSV semicolon separated.
Important: the first line of the CSV should be the name of the columns.
CSV files should be encoded in UTF-8.
- Once your CSV file is created, connect to your Webmecanik Automation instance.
- Go to the "Contacts" section and click on the down triangle then click on "Import".
You will get on the page to choose your CSV file to upload.
- Choose your file.
Limit field represents the batch of contacts imported. Set to 100 per default. You can let it to 100.
The delimiter is according to your CSV file. Remember, CSV files can separated by comma or by semicolon. So depending on your CSV, you may need to change it to ; or let it to , (per default).
The enclosure (optionnal) is what enclose each cells. Usually it is a double quote.
Escape allows to know how special chararacters are escaped. Usually it is a antislash.
- Once you have chosen your CSV file (eventually changed the separator), click on "Upload".
- The new step is the mapping of the fields.
The mapping automatically detects columns of your CSV file. Then you just need to map the column with the corresponding custom fields. Just click on each field to display the select list and choose the right custom field.
Tip: if names of your columns in your CSV file are the same as the alias of the custom fields (within Webmecanik Automation), then the mapping will be done automatically. To check alias of custom fields, just go on the "Custom fields" section.
IMPORTANT: email custom field has to be mapped because it is the unique identifier. It means, if some contacts already exist in Webmecanik Automation, they will be merged whereas being duplicated. But if yo do not have the email mapped, you will have duplicated contacts.
When doing the mapping, you can also add contacts into a specific segment, also add a contact owner and/or add one or many tags.
Once the mapping is done, you just need to run the import.
There are two different ways to run the import:
- Import in browser: import will be launched in the browser. You will see a loading bar. So you must not close the window otherwise the import will be canceled. Not recommended if you import more than 1000 contacts.
- Import in background: import will run in background. You can close the window, log out but the import will still run.
When the import in browser is done, it will be written success with the number of created contacts, merged contacts (if they already exist in the database) or ignored contacts.
If you chose to make the import in background, you will be redirect on the import history page.
You will be able to follow the progression of the import. Note that it could take some minutes before the import start running. The import in background in launched with the cronjobs that are updated about every 10 minutes.
There is not alert when import is done. So if you left the page, logged out etc., you can still go back on this page by going on the "Contacts" section, then click on the down triangle and click on "Import History".
